General Data Security Procedures

  • NEVER send an email or store a document in G-Suite/Google Drive that includes the following data:

    • Social Security numbers

    • Dates of birth

    • Credit Card numbers

    • Passwords

    • Students’ State ID numbers

  • Use network drives/folders for ALL confidential and senstitive data storage

    • Once data is securely stored, communicate the location of the stored data to anyone who needs to know the data location

  • Keep passwords strictly confidential. Do not share with others.

  • Do not use passwords identifying a personal fact about yourself

    •  (e.g., birth date, child’s name)

  • Learn your password. Please use a Password Manager. 

    • LastPass is a free solution that we recommend and encourage you to use.  You can sign up and install the Google Chrome extension here

    • There are a variety of quick and easy to follow tutorials on how to use LastPass and secure your passwords and account information available here

  • Do not leave documents on your desk that contain sensitive or personally identifiable information

  • Do not walk away from your computer with your screen visible and/or desktop accessible

    • Leaving your desk: Lock your screen (Windows Key+L)  

  • Hold all conversations regarding confidential information in non-public areas
